Bluehost stays out of the 1 / 5 / 10 math. Professional Email is a one-month free trial, then $2.50–$2.99/mo depending on which Bluehost plan page you buy from. The shared page shows $2.50/mo after the trial. The WordPress page shows $2.99/mo. The trial length logged today is 1 month. Neither page says the price is per mailbox, so multiplying it by headcount would invent a seat count.
1. Google Workspace Business Starter — best overall
Workspace Business Starter is the mailbox for most small teams that want the Gmail interface and collaboration at their own domain. On the pricing page checked October 7, 2026, Starter is $7.00 per user per month with a 1-year commitment, billed monthly, before tax. Storage is 30 GB pooled per user. The address is the custom business email on that plan, you@your-company.com. This page did not find a separate renewal price next to that commitment rate, so it does not invent a month-to-month figure.

Standard is the step up when 30 GB pooled per user is tight. Plus is the larger pool. All three stop at 300 users. A company above that cap is outside this table. Microsoft 365 Business Basic and Business Standard are the pick when the company already works in Outlook, Word, and Excel. Exchange is the mail side of that suite. Standard is the row in the team table because 20 GB is the middle mailbox, not because Starter's $0.39 sticker is the whole product. Five gigabytes fills up on a shared inbox with attachments. Premium is the larger mailbox, still on the same 48-month clock. The intro is the prepaid term. The renewal is the bill after month 48.
Hostinger web hosting is a different product. Those plans include free mailboxes for 1 year. 4. Bluehost — best when you also need the website
Bluehost is the pick when the mailbox and the website should land on one bill. Hosting, from the plans already logged for this site, is Starter at $3.99/mo for 36 months ($143.64 up front), then $9.99/mo. Business is $6.99/mo ($251.64 up front), then $13.99/mo. Phone support in this cluster is on Business, not Starter. The hosting editorial score is 4.0. That score is not an email score.
Professional Email on top of that hosting is a one-month free trial, then $2.50–$2.99/mo depending on which Bluehost plan page you buy from. Confirmed October 7, 2026: the shared hosting page auto-renews at $2.50/mo after the trial, and the WordPress hosting page auto-renews at $2.99/mo. This page does not know which of those two a given checkout will use until you are on that page. It also does not know a seat count. Leaving Bluehost out of the headcount table is the honest reading, not a gap to fill in.

Zoho Mail Free is the $0.00 start when the company has at most 5 people, can work in webmail, and wants custom email on 1 domain. Checked October 7, 2026, the free plan is 5 GB per user. It does not include IMAP, POP, or ActiveSync, so a mail app that needs those protocols cannot connect on the free plan. That is the caveat that keeps Zoho fifth, behind the paid mailboxes that do not print this limit.
Paid Zoho Mail plans exist. The pricing page describes larger tiers, on the order of 30 GB or more per user, and annual billing is about 20% cheaper than paying month to month. Email suite vs host-bundled email
A suite sells the mailbox. A host sells the website and adds mail as a line on that plan. Use the suite when mail has to survive a move to another host, when the team wants Gmail or Outlook, or when you need a per-person price you can multiply. Use bundled email when a few people send ordinary mail and the hosting plan already paid for the inboxes.
On Hostinger's hosting table, Premium includes 2 mailboxes per website, free for 1 year. Unlimited and Cloud Startup include unlimited mailboxes per website, free for the same year. Setup: domain, DNS, and moving the mail
The domain is the name after the @. You can register it at one company and host the mail at another. DNS is the list of records for that name. The website's A or CNAME record can stay pointed at the current host while the mail records change. These are setup steps. This page did not send test messages, and it does not rank anyone by inbox placement.
- Add the domain at the email host and create one mailbox per person before you change DNS.
- Publish the MX records the email host gives you. MX tells other servers where to deliver mail for the domain.
- Publish the SPF TXT record the email host gives you. SPF names the servers allowed to send mail for the domain.
- Publish the DKIM record the email host gives you. DKIM adds a signature a receiving server can check.
- Publish the DMARC TXT record the email host specifies, usually under _dmarc. DMARC says what receivers should do when a message fails SPF or DKIM, and it can send you reports.
- Copy existing mail before the cutover, using whatever export the old host allows. Zoho Mail Free does not include IMAP, POP, or ActiveSync, so a desktop client cannot use those protocols to fill the free plan.
- Change MX to the new host. If your DNS host lets you shorten the TTL ahead of time, do that so the old record expires sooner. This page does not prescribe a TTL number.
- Send one note to an outside inbox and reply to it. Keep the old mailbox until new mail is arriving. This page does not set a required overlap in days.
A newsletter or a large promotional list is a sending-service job. Do not run that volume through a small-team mailbox and then treat a missing inbox-rate as a hosting failure. No inbox rate is published here.
